Job Description

Position Summary

Under general supervision of the Dixie Center Operations Manager, plans, organizes, and controls events for the Dixie Center and other City of St. George facilities.

Essential Functions (Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills, and other characteristics. Coordinator I

1. Coordinates small to medium events with Dixie Center marketing staff to determine requirements of client in regard to setup, security, and technical other requirements; determines resources available such as equipment or labor and compares with event requirement; and coordinates obtaining of additional resources needed such as equipment rental.

2. Prepares diagrams and sketches to setup tables, chairs, booths, audiovisual and multimedia equipment, electrical outlets, and special equipment or materials according to customer specifications.

3. Prepares applicable event forms, reports, and statement of additional charges related to the event.

4. Coordinates event logistics by insuring proper setup of chairs, turnstiles, tables, booths, audiovisual and multimedia equipment, and other requirements and arranges adequate medical and security coverage.

5. Monitors the comfort of clients and customers and the provision of equipment, supplies, and other functions to ensure events are conducted and operated in a safe, efficient manner and according to customer requirements.

6. Monitors safety and secures/oversees securing the building after events.

7. Serves as Dixie Center representative during events by responding to and resolving emergency situations and/or patron problems such as medical emergencies or security incidents. Ensures all aspects of events are implemented and controlled according to plan.

8. Maintains contact with Dixie Center and City personnel associated with scheduled events.

9. Provides close to general supervision of scheduled part-time and temporary employees.

10. Resolves moderate to complex problems encountered in performance of work assignment.

11. Provides guest service functions for events as assigned by Operations Manager.

12. Performs other related duties as required at Dixie Center and other City facilities.

Coordinator II

Essential Functions are the same as Coordinator I with the additional responsibilities of:

13. Provides site tours of facilities to prospective customers and explains rental policies and procedures.

14. Schedules part-time guest services staff.

 

Typical Physical/Mental Demands/Working Conditions

Work requires vision for the successful performance of the position. Extensive public contact. Standing, bending, stooping, and driving. Lifting and carrying materials and displays weighing up to 60 pounds. Moderate exposure to stress as a result of human behavior, human error, work deadlines, and the demands of multiple complex projects. Work is performed in office, event, and outdoor environments.

Note: Requires working extended or irregular hours such as weekends, nights, or holidays and in response to after hour emergencies. Must be available during hours of assigned events.

 


Minimum Qualifications

Qualifications

Coordinator I & II

Education: High school diploma or equivalent.

Licenses and/or Certifications:

A valid Utah Driver License is preferred.

Possess First Aid and Cardio-Pulmonary Resuscitation (CPR) certifications which must be maintained throughout employment.

Coordinator I:

Experience: Minimum of six (6) months as a full time intern/event or stage management specialist or equivalent.

Coordinator II:

Experience: Minimum of four (4) years full time paid event or stage management or equivalent.

Licenses and/or Certifications:

Knowledge, Skills, and Abilities

Knowledge of:

Operation of audiovisual and multimedia equipment.

City fire and safety ordinances and codes related to public assemblies and special events.

City and Dixie Center facilities’ rules, regulations, policies, and procedures.

Materials, methods, terminology, procedures, and equipment used in convention, trade show, and

entertainment industry.

Standard OSHA rules and regulations, and OSHA MSDS standards and safe chemical handling.

Principles and practices of supervision.

Customer service methods and techniques.

Recordkeeping and reporting procedures.

Ability to:

Coordinate multiple events simultaneously.

Maintain a clean, safe event environment.

Understand and effectively carry out written and oral instructions.

Communicate clearly and concisely in both oral and written form.

Efficiently respond in a calm and effective manner to a variety of demands and projects.

Assign and delegate duties to assigned part-time staff.

Establish work priorities and remain flexible.

Train and motivate assigned part-time staff in effective work procedures and safe work practices.

Provide courteous information and service to the public and other City staff.

Analyze problems and identify alternative solutions.

Monitor customer and public compliance with event policies and procedures.

Control and operate within budgetary parameters.

Establish and maintain effective working relationships with others.
